Routines
Create and manage recurring agent work from the Routines screen, or ask an agent to set it up for you.
A routine is a piece of work an agent does for the team at set times: a morning digest of the channels you follow, a weekly summary, a daily reminder. Each routine has a name, an instruction in your own words, the agent that runs it, the channel it posts in, and when it runs. Each time it runs, the agent follows the instruction and posts the result in that channel.
Create a routine
Open Routines in the sidebar and select Create routine. Give it a name and instruction, choose the agent that will do the work and the public channel where it will post, then choose its days and times. The schedule uses your workspace's time zone. Select Create to add the routine and open it.
Routine schedules repeat on chosen days at one or more exact times. Use Every day, Weekdays, or Weekends as a shortcut, or pick the days yourself. Times in one routine must fit one repeating pattern. For example, 07:00 and 18:00 work, and 07:00 and 07:30 work, but 07:00 and 18:30 need two routines.
The form tells you why it cannot create the routine if its name or instruction is missing or too long, the name is already used, or its agent, channel, or schedule is unavailable. Nothing is created until every field is valid.
Or ask an agent to set one up
Ask an agent, in any channel or its DM, to set up a routine. Say what it should do, when, and where it should post. You can also name the agent that should do the work; if you don't, the agent you are asking runs it.
Snoopy wants to set up the routine “YouTube digest”: Researcher will run it weekdays at 07:00 (Asia/Bangkok) and post in #youtube-digest, following these instructions:
InstructionsDigest these YouTube channels: …
Nothing is set up until you tap Approve & set up. The card says who will run it, when (in your workspace's time zone), where it will post, and quotes the instruction in full, because that is what you are agreeing to. Once you approve, the card shows Approved by you with a link to the channel, and the routine runs at its next time. Its post shows up in the channel like any other message.
Change, pause, resume, run now, or delete it
Ask the same way, using the routine's name. Each request gets its own card, and nothing happens until you approve it.
| You say | The card says | After you approve |
|---|---|---|
| “make the digest 8am every day” | …run it every day at 08:00 instead of weekdays at 07:00 | It runs at the new time from now on. |
| “change the digest's instructions to …” | …change its instructions, quoting the new text in full | The next run follows the new text. |
| “pause the digest” | …pause the routine “YouTube digest” | It stops running. A run already going finishes. |
| “resume the digest” | …resume the routine “YouTube digest” | It runs again at its next time. It does not catch up on the runs it missed. |
| “run the digest now” | …run the routine “YouTube digest” now: Researcher will post in #youtube-digest | It runs within about a minute, even if it is paused. |
| “delete the digest” | …delete the routine “YouTube digest”. It stops running; its past runs stay recorded. | It never runs again. |
If the routine is already running when you ask to run it now, the agent tells you so instead of showing a card.
What a routine can and can't do yet
- Public channels only. A routine posts in a public channel. If you ask for a private channel or a DM, the agent tells you it can only post routines in public channels for now.
- Repeating times only. A routine runs on chosen days at chosen times: every day, weekdays, or days you name, at one or more times. The times have to fit one pattern: 07:00 and 18:00 work (the same minutes), and 07:00 and 07:30 work, but 07:00 and 18:30 don't. For those, the agent asks you to make two routines. A one-time reminder (“tomorrow at 9”) is not possible yet.
- Only the person who created a routine can change it. If you ask to change, pause, run or delete someone else's routine, the agent tells you who created it and shows no card.
- Names are unique. Two routines in a workspace can't share a name, so a name always means one routine.
See and manage the team's routines
Open Routines in the sidebar. The sidebar switches to the routine list and whatever you had open stays where it is until you pick a routine. From an open routine, choosing Channels, Knowledge or Agents takes you to that tab. Every routine in the workspace is listed in two sections: Created by me holds yours, and the section named after your workspace holds everyone else's. Each row shows the routine's name, when it runs (“Weekdays at 07:00”), and who created it. A paused routine is greyed out with a pause icon.
Pick a routine to open it. You see its name, Created by with that person's name, the instruction, when it runs, the agent that runs it and the channel it posts in. If the person who created it has left the workspace, it says Former member. If its agent or channel was deleted, it says Agent removed or Channel removed.
If your workspace has no routines yet, the tab says what a routine is and that you set one up by selecting Create routine or asking an agent.
Change a routine
If you created a routine, you can change it directly in its detail view:
- Edit the name or instruction. It saves when you leave the field or pause typing.
- Choose a different workspace agent or active public channel.
- Change its repeating days and times.
- Switch it between Active and Paused. Pausing stops future scheduled runs; resuming starts again at the next scheduled time and does not catch up on missed runs.
- Select Run now to start one run immediately, whether the routine is active or paused.
- Select Delete, then confirm the routine's name, to stop it permanently. Its existing posts remain.
The save status reads Saving… and then Saved. If the change is refused, the typed value stays in place and the status says why it could not save; use Retry after fixing a network problem. If the routine changed elsewhere after you opened it, select Reload instead of overwriting the newer change.
Only the person who created a routine can change, pause, run, or delete it. Everyone else sees the same details read-only and a message naming who can change it. Creating your own routine is still available. A removed agent or unavailable channel is shown on the affected field; its creator must choose a replacement before resuming it.
Run history
Under the routine, its runs are listed newest first: when each one ran, in your workspace's time zone, whether it was Scheduled or a Run now, and how it ended.
| The run shows | What it means |
|---|---|
| Posted | It finished and posted. Tap it to open the channel at that post. A post older than the channel's recent messages opens the channel at its latest message instead. |
| Running… | It is working now. Open the routine again in a minute to see how it ended. |
| The run didn't finish | Something went wrong while the agent worked. When it ran out of time, the AI model returned an error, or something went wrong on our side, the routine also posts a note in its channel saying so (below). It tries again at its next time. |
| The creator is no longer in this workspace | A routine runs as the person who created it, and they have left, so it did not run. |
| The channel was archived or removed | There was nowhere to post, so it did not run. |
| The agent was removed | The agent that runs it was deleted, so it did not run. |
| Couldn't check the creator's access | It could not confirm the creator was still a member, so it did not run. It tries again at its next time. |
| No runs yet | It has not reached its first time yet. |
A routine that posts in a private channel you are not in shows a private channel, with no link to its posts. The history shows the latest 20 runs, and says so at the bottom when there are more.
When a run doesn't finish
Nobody asked for a routine's post, so when a run runs out of time, the AI model returns an error, or something goes wrong on our side, its note in the channel names the routine and the reason, and says what happens next instead of asking anyone to try again:
"Last merged PR" didn't finish: it ran out of time. It runs again at its next scheduled time.
A run started with Run now ends the same way, but asks you to run it again instead. The routine's next run is told how this one ended, and an agent asked "what happened?" in reply to the note can give the same reason.
An agent can also manage a routine once someone has switched on its routine tools in the agent's settings. The Routines screen and approved agent cards use the same safety checks and give the same reason when a change cannot be made.
